Exploring Contact in Your System
In this video, I will guide you through exploring contacts within your account. In this example I will be looking at an account that has 3 business units inside, most accounts only have one business unit setup. I will explain the different functions and users in your account, and how to log in as different users to view specific contacts. I will also show you how to send emails to contacts using smart lists and how to assign contacts to specific users. Pay attention to the timestamps for important information.

Okay, so let's explore contacts a little bit more within your account. Within your account you have three users, three different functions.
One for reality, one for foundation. And one for insurance so when you log into your account and you logged in under the reality account and you see all you will see all your contacts in one stream whether they are foundation insurance or realty you'll see them all here and if I go into a particular
contact like this guy here let's have a look at this one see that its not assigned to any owner what that means is if you are trying to say send out mailing to your list if you're in your realty list and you send something out to your list as a a smart list youll send to everybody whos tagged as a realtor or as a foundation so this person is dm foundation youll send them all out to everyone whos tagged but the signature strip will be for the realty program so what you need to do is you need to log be logged in as so in the top right hand corner you see a little picture you can log as and you can log in
as a different person so you can log in as Donna Marie Foundation, Donna Marie Rees which is your realty or Donna Marie's insurance so that is what you need to do first you need to log in as those people I'm going to stay logged in as Donna Marie Rees which is the realty Okay for this example I'm going to show you see you've got your your four different smart lists on here so you can go to each smart list and you'll see the members in those smart areas.
So insurance we have some people who have been marked as the insurance company which is by tags so these smart lists operate by the tags that you set so we should see that DM insurance has been tagged for these people and that is why they are sitting currently in this smart list and if you go to the

foundation you'll see that DMR foundation is a tag that's been set so that's the smart list that's how they're set.
So if you want to send something to somebody would need to go to campaigns and we can send to people in your contact list so if we send them something and we're logged in as Donna Marie Realty they will get everything they will get the email with your realty signature strip on them so how do we correct that what we do is for each user that's part of the foundation or in insurance we have to set the assignment to that user for the business that you want them to be shown up in so donna marie's realty for dm insurance i want to make sure that This is sign two.

donna marie realty insure which it is okay so this particular person alan schmidt is a dm foundation but he's not assigned to anybody so really he needs to be assigned to the foundation because he is a foundation person so when i have assigned that person to the foundation he will get he will show up
in the list when i log in as the foundation. just to be clear DM Realty is your controlling domain if you like so that controls all the different business aspects you can change things in that view you can log in as Donne marie Realty or foundation so if we go to the foundation I should see everything

that is associated to the foundation including the contacts so I should have 51 or 52 contacts based on the tagging and the assigned to so the assigned to is what really is the clear indicator for this particular list.
So I can see I have 50 records, which is probably about right. And this guy here, Alan Smith. MSW has actually shown up in my list Okay but you will see that no one, unless they've been assigned, will show up in this list unless they've been assigned So they have to be assigned so Nigel Lear I've been
assigned to this list but if you went back to the insurance list and logged in there you wouldn't see me in the insurance list ok but you would see me in the realty because the realty can see everything that everybody can see so that's like your one stop stop shop so you can see the foundation and I can look at the board members so for this Ive just got the foundation and the board members so I hope that makes sense that for sending stuff out through campaigns you can send them as a smartly list but if you send them as a smart list and youre logged into a different account or a different user then
you will get the email tag for that user you are logged in as so that is why you have to assign people to a company and use the different users to send stuff out to get the right email signatures on Everything.
